Terms of Service

1. Who these terms are with

RFP Docket is operated by MM Sanford, LLC (“we”, “us”). By creating an account or using the service you agree to these terms, on behalf of yourself and of the organization you sign up for. If you are signing up for an employer, you confirm you are allowed to agree on its behalf.

2. What the service does, and does not do

RFP Docket collects publicly posted procurement opportunities from government and institutional sources and provides tools to track, organize and prepare responses to them.

RFP Docket does not submit bids on your behalf. Submission happens through the issuing agency’s own portal, under your own account. We are not a party to any solicitation, contract or award, and we do not provide legal, procurement or bid-writing advice.

3. Accuracy of the opportunity data

Source data comes from third-party portals that change without notice. We take reasonable steps to keep coverage current and publish the state of every source on our coverage page. We do not warrant that the collected data is complete, current or free of error.

Verify deadlines, requirements and submission details against the issuing agency’s official posting before you rely on them. A missed deadline or a rejected bid is not something we can be responsible for.

4. Your account and your team

Seats are named and belong to individual people. They are not concurrent licences, and sharing one login between several people is not permitted. When someone leaves your organization you may reassign their seat to someone else at no cost.

You are responsible for activity under your account, for keeping credentials secure, and for removing access when a person no longer needs it.

5. Your content

Notes, tags, tracking status, saved searches, registration records and files you upload remain yours. We claim no ownership of them. We process them to provide the service and to support you when you ask. We do not sell them, and we do not use them to train machine-learning models.

6. Acceptable use

You agree not to:

• resell, redistribute or republish the collected opportunity data;
• extract that data in bulk outside the export features we provide;
• use the service in a way that breaches a third-party portal’s own terms;
• attempt to reach another customer’s data, or to probe or disrupt the service.

7. Fees, trials and cancellation

Plans and prices are as published on the pricing page. Trials run for the stated period and require no card. Paid subscriptions renew automatically until you cancel.

You can cancel at any time. Cancellation stops the next renewal and your access continues to the end of the period you have already paid for. We do not give refunds for time already billed — the free trial is there so you can decide before you pay. Moving between plans is prorated to the day.

We may change prices with at least 30 days’ notice by email to account owners. A price change takes effect at your next renewal, and you can cancel before it does.

8. Availability

We work to keep RFP Docket available and we monitor it, but standard plans carry no contractual uptime commitment. Organization customers who need a service-level agreement can ask us and we will discuss one.

We may take the service down for maintenance, and will give notice in advance where the work is planned.

9. Termination

You may close your account at any time. We may suspend or close an account for breach of these terms or for non-payment, and will tell you why.

After closure your data is available for export for 30 days. After that we delete it. See the privacy policy for what deletion means in practice.

10. Warranties and liability

The service is provided “as is”. We do not warrant that it will be uninterrupted, error-free, or that the opportunity data is complete or accurate.

To the fullest extent the law allows, neither party is liable to the other for indirect, incidental or consequential loss, for lost profits, or for lost business opportunities — including a bid you did not see, did not submit, or did not win. Our total liability arising out of these terms is limited to the fees you paid us in the twelve months before the claim.

Nothing here limits liability that cannot be limited by law.

11. Governing law

These terms are governed by the laws of the State of Wisconsin, and the courts of Wisconsin have exclusive jurisdiction over any dispute arising from them.

12. Changes to these terms

We will email account owners before a material change takes effect, and update the effective date at the top of this page. Continuing to use the service after that date means you accept the revised terms.
